What belongs on a banquet menu

A banquet menu is sent to one person, the host, who picks for a whole room. It needs set prices per person, the choices the guests will get, the deadlines for counts, and the bar as a package.

  1. Set menus, per person

Two or three levels at fixed prices per person, each with what it includes. Add a children’s price.

    • The Standard, per person65
    • The Celebration, per person85
  2. Passed bites

Two or three, served during the first half hour while the room fills. Included in the set menus.

    • Deviled eggs4
    • Tuna tartare cones6
  3. First course

Plated for every guest, one or two options the host picks.

    • Caesar salad12
  4. Mains, chosen ahead

Three or four the guests choose on the RSVP. The count deadline goes in the note under the heading so the host sees it.

    • Filet mignon48
    • Vegetable lasagna28
  5. Dessert and the cake

One dessert for the table, plus a line for a celebration cake with the lead time.

    • Celebration cake12Ordered 10 days ahead
  6. Bar packages

Per person for a set number of hours: beer and wine, full bar, zero proof, a Champagne toast.

How Upscale Contemporary sets it

The numbered sections of Upscale Contemporary suit a banquet: the host reads the evening as it will happen, I through VI. Short notes beside each name carry the terms: “20 to 60 guests”, “Chosen ahead”, “Per person, two hours”.

The per-person set menu lines sit at the top, set large, with the course prices below them marked à la carte in the first line’s description. The host compares two numbers, not twenty.

Banquet menus travel by email. Send the PDF; its cover carries your name and the QR code to the live menu, so if the host opens an old attachment next spring, the code shows this year’s prices.

Prices on a banquet menu

Price the set menus per person and the bar per person per block of hours. Prices run from $1 to $9,999 per line, so a per-person package or a room minimum can print at its real number. Totals for the room belong in your event agreement.

Service charges, tax, room fees, and minimum spends are terms, not dishes. Put a short version in the note under Set Menus and the full terms in your agreement. Gaslamp does not take deposits or bookings.

For a menu printed for one event, switch off the options the host did not choose, download the PDF, and switch them back on. The QR menu shows the same trimmed list while they are off.

The start of the sample, as plain lines: section, dish, price, a short description. You type yours over them in the editor.
  1. 1

    Start from this banquet menu

Pick Upscale Contemporary and start from this sample. Every section, line, and price is already in place, so you type your own over it instead of building a blank page.

  2. 2

    Type your dishes over it

Replace each name, description, and price in the editor. Delete the lines you do not serve and add the ones you do. The layout reflows as you type.

  3. 3

    Set your packages and deadlines

Type your per-person prices over the two set menus, then change the count deadline under Mains and the hours under Bar.

  4. 4

    Publish, then print

Publish the live menu behind one QR code that never changes, print the table tents once, and print the PDF whenever the paper copy needs to catch up.

Running it

  1. Monday

    The host picks two mains

Switch off the two mains the host did not choose, download the PDF for the place settings, then switch them back on for the next event.

  2. 4:30 p.m.

    Salmon swapped for halibut

The fish order changed. Edit the main on your phone, save, and print the place cards again before the room fills.

Banquet menus, straight answers

Is this banquet menu template free?
Yes. The Upscale Contemporary PDF on this page is free to download and print, with no signup. It is a sample, so it carries sample dishes and prices. To put your own menu into the design, start the 14-day free trial, no card needed. The trial includes one published live menu with QR codes. PDF downloads and additional menus start when you pick a plan.
What is the difference between a banquet menu and a catering menu?
A banquet menu is for a group in your own room, served by your staff, usually as set menus per person. A catering menu is food sent out to someone else’s space, priced by the person, the dozen, and the hour.
How do I let guests choose their main ahead?
List the mains with the count deadline in the note under the heading. Collecting the choices happens on the host’s RSVP; Gaslamp prints the menu, it does not collect RSVPs.
Can I print a menu with just the chosen dishes?
Yes, on a paid plan. Switch off the options not chosen, download the PDF, then switch them back on. Or keep a separate menu for events.
Where do service charges go?
Put a short line in the note under Set Menus and the full terms in your event agreement. A mandatory charge is a term of the booking, not a dish.
How much does it cost?
Start with a 30-day free trial, no credit card needed. Then it is $19 a month, or $190 a year (2 months free). No setup fee. Cancel anytime. The trial includes one published live menu with QR codes. PDF downloads and additional menus start when you pick a plan.
